Standard in QAD Adaptive ERP

Sales, purchasing and productionbecome accounting as they happen

Meet the core Financials and Costing modules of QAD Adaptive ERP. Transactions from operations flow through the sub-ledgers and the general ledger all the way to management reporting.

FCM at a glance

Every operational transaction flows into finance

Sub-ledgers and costing turn operational transactions into accounting, the general ledger brings them together, and management reporting follows. QAD FCM handles all of it as one flow.

Read from top to bottom. Sales, purchasing and manufacturing transactions create accounting transactions. Accounts receivable, accounts payable, banking, fixed assets and costing take them in and feed the general ledger. Financial reporting builds reports from the same ledger.

Process-driven finance

From keying in journal entries to transactions that are the accounting

QAD builds in the finance flow that global manufacturers work with. Four comparisons show how it differs from the familiar approach.

FCM core modules

Seven modules, one ledger

For each module we list the key functions, the benefits, related functions and the QAD menu names.

01

General Ledger

The center of finance, where every transaction lands. On a multi-entity, multi-currency structure, analysis dimensions and accounting layers show the same ledger from several angles.

Key functions

Multi-entity · multi-currency
Standardizes accounts, business partners and exchange rates as shared sets.
Analysis dimensions
Analyzes accounts from several angles with sub-accounts, cost centers, projects and SAF.
Accounting layers
Official, management and transient layers keep IFRS and audit adjustments apart from the official books.
Closing support
Creates recurring and reversing entries, allocations, currency revaluation and year-end closing entries automatically.

Benefits

  • Operational transactions are reviewed before posting, and a period cannot close while unposted transactions remain.
  • You analyze in detail by department and project without adding account codes.
  • Entity reporting and group reporting run together on a common chart of accounts.

Related functions

  • Cross-company transactionsPosts a transaction between entities to both entities together.
  • Excel journal integrationDownload journal entries to Excel, edit them and upload them in one batch.
02

Accounts Receivable

From shipment to invoicing and collection, sales transactions flow into invoices and receivables without a break. Credit and collections are managed in one flow.

Key functions

Shipment → invoice
A shipment creates a pending invoice. Posting the invoice updates receivables and the ledger at once.
Credit management
Checks the credit limit, the ratio to last year's sales and the days overdue. When a check fails, it warns or holds orders and invoices.
Payment processing
Allocates receipts and bank statement lines to open invoices, including partial payments and prepayments.
Collections
Provides statements, staged reminder letters and receivables aging analysis.

Benefits

  • Credit checks at order entry manage bad-debt risk early.
  • Revenue and receivables update when the invoice posts, so nothing is entered twice.
  • Overdue collection follows a standard, staged procedure.

Related functions

  • BankingAllocates incoming payments on a bank statement directly to open receivables.
  • Exchange gains and lossesCalculates and posts realized exchange gains and losses automatically when a foreign-currency receivable is paid.
03

Accounts Payable

From purchase order and receipt to payment, supplier invoices are verified against receipts, and approval and payment follow a controlled procedure.

Key functions

Receipt-to-invoice matching
Matches receipts against supplier invoices and posts price and quantity variances automatically.
Staged approval
Applies multi-level approval that fits your procedures, plus Lock Payment.
Payment processing
Selects the invoices to pay in one batch and confirms them.
Prepayments · payment terms
Turns a payment without an invoice into a prepayment, and supports installment payments and early payment discounts.

Benefits

  • Before you pay, you confirm that the bill matches the quantity received and the agreed price.
  • Separate approval and payment rights strengthen internal control.
  • Control over payment timing keeps cash planning stable.

Related functions

  • Purchasing & receivingA receipt automatically creates a pending invoice (receiver).
  • ERS automatic settlementCreates supplier invoices automatically from receipts. It is optional.
04

Banking

Connects bank statements to receivables, payables and the ledger in one step. Saving the allocation posts to the sub-ledgers and the ledger together and completes the payment cycle.

Key functions

Bank statements
Allocates deposits and withdrawals to open receivable and payable items, ledger accounts and payments.
Posting on save
Saving the allocation updates the sub-ledgers and the ledger, including discounts and prepayments.
Foreign currency · multi-entity settlement
Converts exchange rates during allocation and settles open items of other entities too.
Petty cash
Records cash receipts and payments and allocates them to open receivable and payable items.

Benefits

  • Most of the payment cycle finishes on the bank statement screen.
  • Unallocated, partly allocated and allocated statuses show settlement progress at a glance.
  • One allocation settles the sub-ledgers and the ledger together, which cuts reconciliation work.

Related functions

  • Accounts receivable (AR)Allocates incoming payments to open receivables and settles them at once.
  • Accounts payable (AP)Confirms and settles payments from the bank statement.
05

Fixed Assets

Manages the full life of an asset, from acquisition to depreciation, transfer and disposal. Each book can follow its own depreciation rules.

Key functions

Multiple books
Each book has its own currency and depreciation rules, and primary and comparison books run together.
Depreciation
Uses standard methods such as straight-line, declining balance, sum-of-the-years'-digits and units of production, and user-defined schedules.
Asset life cycle
Handles acquisition, split, transfer (also between entities), adjustment and disposal, and calculates the gain or loss on disposal.
Batch processing
Posts and reverses depreciation in batches, with a simulation before posting.

Benefits

  • The asset register reconciles the ledger and the sub-ledger.
  • Depreciation comparison reports show the differences between books at once.
  • Simulation before posting prevents month-end closing errors.

Related functions

  • General ledger (GL)Creates entries with the default accounts of each asset class.
  • Excel integrationRegisters and exports assets in bulk with templates.

FAQ

Common questions before adopting finance and costing

How is this different from entering journal entries by hand?

QAD is process-driven: transactions create the entries. Shipments, receipts and production results generate accounting transactions automatically, and product lines and default account masters set the accounts. Operational transactions are reviewed before they post to the ledger.

How do you handle differences from Korean accounting practice?

The differences that feel unfamiliar at first are the standard way global manufacturers work. Orcait closes the gaps with Korean accounting practice one by one during implementation. You can also add Orcait's Korean finance extension modules on top of the QAD standard.

Can we run multiple entities and currencies on one ledger?

Yes. Accounts, business partners and exchange rates are standardized as shared sets, and the general ledger runs on a multi-entity, multi-currency structure. Intercompany transactions post to both entities together. Entity reporting and group reporting can run side by side.

Can we keep IFRS and audit adjustments apart from the official books?

Yes. Official, management and transient accounting layers keep IFRS and audit adjustments and simulations apart from the official books. Adjusting entries do not mix into the official books.

How is product cost managed?

Standard cost is the basis. Material, labor, overhead and subcontracting costs accumulate along the BOM and routing. You can simulate next period's costs without affecting current costs. The production order accounting close clears work in process (WIP) and posts cost variances.
